FULL TIME -
SUMMARY:
Receives and applies payments and/or credit memos on a daily basis
to customers open invoices. Updates and maintains customers
receivable balances including but not limited to performing prompt
pay discounts, bad debt write offs and/or credit/debit adjustments.
Research and reconcile customers' accounts as necessary,
communicate the findings verbally and electronically in a
professional and timely manner. Participates in the accounts
receivable month end close process.
PRIMARY RESPONSIBILITIES:
Receives and applies payments, credit memos to customers open
invoices through electronic systems
Applies prompt pay discounts to customers open invoices according
to company policy and procedure
Updates customers credit status on a daily/monthly basis
Researches, reconciles and defines customers receivable balances in
relation to company terms and customer agreements
Processes all customers check requests and submits through A/P
electronic system, all requests must be routed to
Lead/Manager/Director for approval
Clears customer's balances when deemed uncollectable as a Bad Debt
Write off by following company policy and procedure, creates
credit/debit adjustments against customers account
ADDITIONAL RESPONSIBILITIES:
Generates and balances all daily/monthly accounting reports to
accurately state the companies accounts receivable balances
Contacts customers by phone, letter. and email to resolve account
situation and documents communication within the electronic
systems
Builds and maintains strong working relationships with all areas of
the company
Communicates directly with other departments within the company to
ensure that there is a full understanding of their customer's
accounts and its terms and conditions
Maintains confidentiality of customer accounts, customer lists, and
company financial information
PHYSICAL REQUIREMENTS:
Ability to occasionally carry, relocate, and/or lift up to 50 pound
cartons or containers
Ability to work a regular schedule in an open office
environment
Ability to sit for up to three hours at a time
QUALIFICATIONS:
At least three years increasing experience in accounts
receivable
Detail and goal oriented, excellent organizational skills and a
strong ability to complete projects on time
Ability to read, write, and communicate in English professionally
in a business environment
Self-motivated and work independently with minimal supervision
Ability to work collaboratively in a team environment with a sense
of urgency when required
Ability to cultivate and maintain effective working
relationships
Ability to learn and operate proficiently within the company IT
infrastructure including, but not limited to: MS Office
(intermediate level), BOX, Oracle, Point of Sale system, and
Billtrust
Ability to utilize office equipment such as phones, and
multi-functional device
