Job Description

We are looking for a talented and experienced Benefits Coordinator that is eager to join an exciting, growing organization. The Benefits Coordinator will administer the daily activities of the company's various benefit plans. Provides assistance to employees by answering plan related questions, as well as researching and resolving issues. Interprets relevant policies, solves benefits-related problems, and communicates information about the plans, procedures, and any other government-mandated disclosures to employees.

Essential Duties & Responsibilities

  • Coordinate daily benefits processing. Handle new enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, and rollovers.
  • Oversee maintenance of employee benefits files and maintain group benefits database
  • Provide customer service support to employees
  • Assist with developing communication tools to enhance understanding of the company's benefits package
  • Assist with design and distribute materials for benefits orientations, open enrollment, and summary plan descriptions
  • Provide training and support to Vanir employees
  • Assist with leave of absences including but not limited to medical leave, maternity leave, on the job injury, jury duty, and state leaves
  • Answer and make phone calls regarding leaves of absence, doctor's notes, and other documentation regarding attendance
  • Process, distribute, and document all appropriate paperwork needed for leaves of absence within contractual time frames
  • Coordinate and manage COBRA requirements for continuation of coverages under Group Health Plans
  • Process weekly transactions as related to benefit plans, as well as maintain benefits records and reports required for internal and external audits
  • Ensure compliance with IRS regulations
  • Assist with benefit surveys and review information obtained from the results
  • Forecast trends and assist with future benefits designs
  • Develop specific recommendations for review by management
  • Oversee draft documents, as well as supporting documents, for filings such as Form 5500s, 1095C and others related to employee benefits
  • Coordinate and post all required notices with regard to employee benefits and 401(k)
  • Participate in new employee orientation
  • Assist with Human Resources Generalist duties
    Minimum Qualifications
    • Bachelor's Degree preferred or 4 years equivalent work experience in a HR Generalist or Benefits Coordinator role
    • Working knowledge of applicable laws and regulations including Affordable Care Act
    • Proven knowledge and application of benefit administration including working knowledge of applicable laws and regulations, e.g. HIPPA, COBRA, LOA
    • Ability to handle confidential information
    • Strong analytical and problem solving skills
    • Good computer skills including proficiency in Microsoft applications and familiar with web based Benefit software
    • Excellent verbal and written communication skills
    • Excellent organizational skills and ability to multi-task
