Job Description:

Joining the Company's Product & Technology team at a critical time in its anticipated growth, the Chief of Staff will strategically coordinate and support the team's internal operations, helping the Company to scale its ambitious vision of catalyzing millions to action -- through digital channels and the future Obama Presidential Center.
The Chief of Staff, Product & Technology will ensure the team's goals and priorities are collaboratively determined in a timely manner, align with broader organizational mission and goals, and communicated as needed. They will also develop, iterate on, manage, and participate in a range of existing and needed operational and communication processes that enable the team to achieve its broader goals.
Reporting to the Vice President, Product & Technology, the Chief of Staff will also work closely with colleagues on other teams -- including other Company Chiefs of Staff -- with an emphasis on ensuring alignment on priorities and that relevant information is shared and available.
Core Job Responsibilities
Strategic Planning and Process Development: -Leads strategic planning and priority-setting process for team, participates in the creation and improvement of team-wide processes and systems, and contributes to broader organizational planning efforts. Serves as an advisor to the Vice President, Product & Technology and other team leads with an emphasis on improving team's effectiveness, culture, and work across the organization.
Team Operations: -Develops and manages the team's annual budget, schedules and coordinates agendas for regular and one-off full team meetings, takes and circulates notes for team meetings, and keeps track of and reports on team milestones. Takes the lead with team-related contract and expense management. Oversees maintenance of team's shared Google Drive and document management processes.
Hiring & Onboarding: -Works with team hiring managers to develop job descriptions, sourcing plans, interview exercises, and onboarding materials. Facilitates the hiring process by coordinating with the Foundation's People team and dedicated product and technology sourcers. Ensures that onboarding materials for new staff are prepared and that relevant onboarding meetings take place.
Team Culture: -Supports the Vice President, Product & Technology and other staff in actively creating and continually improving the distributed team's norms and culture. This includes planning and logistics for remote team events and periodic in-person team gatherings, as well as working with colleagues to facilitate full-team sessions.
Communications and Presentations: -Helps put together presentation materials for internal and external stakeholders, including Foundation leadership, advisory councils, and potential donors. Ensures other teams understand Product & Technology priorities and capabilities. Shares relevant updates and materials from other Foundation teams with Product & Technology staff members and supports cross-departmental communication.
Special Projects: -When needed, serves as Product & Technology representative for organizational initiatives and manages one-off or periodic additional projects.
Performs other duties to support the VP Product & Technology as assigned
Key Deliverables / Outcomes
Multi-year, annual, and quarterly team planning processes are facilitated and the results and documented and shared
Team's annual budget is developed as part of broader organizational process and managed throughout the year
Team members are hired and onboarded in a timely way that contributes to understanding of team goals, culture, and the product development roadmap
Team members learn about organizational updates and have access to information that allows them to work more effectively
Strong systems and relationships that facilitate effective work with internal teams and external stakeholders
Required Qualifications
At least three years of work experience focused on strategic management of organizational priorities, processes, and internal operations
Creative problem solver interested in finding human-centered solutions that work for the team and the organization; comfortable managing ambiguity and finding paths forward when a course of action is not necessarily obvious
Skilled, confident, and detail-oriented communicator -- both written and verbal -- able to adapt tone, style, and approach based on a wide range of audiences
Effective project management skills, including the ability to successfully manage multiple projects simultaneously and to see connections and dependencies between projects
Interest in new developments in the digital technology sector and product development practices; ability to quickly understand and adapt to new technology
Track record of building relationships at all levels of an organization
Past participation in hiring processes and coordination with people operations/human resources teams; experience with Greenhouse software a plus
Entrepreneurial spirit with demonstrated ability to thrive in a fast-paced and dynamic environment; familiarity with product development or nonprofit practices highly desirable
Ability to effectively work with users and teammates distributed across geographic locations
