Equal Opportunity Employer. SUMMARY: The Grants & Contracts
Management Associate works across multiple departments of the
Foundation and closely with the Program, Accounting and
Administration, and the Executive teams to coordinate and manage
compliance regulations, proper documentation processing, data and
payments related to grants, and contracts and funder agreements
administered by the Foundation. This position is also responsible
for providing oversight, implementation and administration of the
grants management database software. ESSENTIAL DUTIES AND
RESPONSIBILITIES --- Responsible for the processing of all
Foundation and Center grants, contracts and funder agreements and
participates in the allocation process.--- Responsible for ensuring
integrity of grants, contracts and funder agreements distributed,
including structure and compliance.--- Works externally with
applicants and grantees to facilitate grant, contracts and funder
agreement allocation and monitor activity.--- Shares grant,
contracts, and funder agreements information with program,
accounting and administration, finance, legal, communications and
technology staff and improves processes.--- Ensures that proposals
and grant, contracts and funder agreements reports are reviewed
according to standards for timelines, quality and consistency of
grant, contract and funder agreement processing.--- Educates and
trains foundation staff on grants, contracts and funder agreements
management compliance, internal processes and technology.--- Work
with external and internal stakeholders on contractual and
procurement process.--- Maintain all funder, grant and contractor
files, both electronically and physically. This includes scanning
all funder, grant and contractor documents into the Foundations
document retention software and filing in the appropriate folders
using metadata templates.--- Perform funder, grant, contract and
other record retention activities. This includes closing files,
recording destruction dates and destroying archived records
pursuant to the record retention policy.--- Review and audit Grant
& Contract files.--- Guide the administration and oversight of the
database software for the administration of grants, funder
documentation and contracts for the foundation.--- Conduct periodic
file audits in the Foundations database and document retention
software files to ensure all data is correctly input and all
documentation is scanned, complete and filed correctly.--- Manages
the automated grant system and recommends policies and procedures
to improve current process as needed.--- Develop reporting
standards for foundation staff and management.--- Coordinate the
development of contract management processes and implement in the
software database.--- Other tasks as assigned. SUPERVISORY
RESPONSIBILITIES This job has no supervisory duties. QUALIFICATIONS
To perform this job successfully, an individual must be able to

EDUCATION AND/OR EXPERIENCE --- Bachelors Degree in business
administration, database management, or related field.--- 3-5 years
in project management, government/grant contract experience
required.--- 1-2 years of experience providing written and verbal
communications to support reporting for the board of Directors and
executive management.--- Experience managing grants and contracts
in large systems or institutions preferred.--- Experience providing
compliance knowledge to support financial reporting and
procurement.--- Prefer knowledge of grant and contract processes
and software platforms.--- Experience in database softwares like
Salesforce or any other grant softwares CERTIFICATES, LICENSES,
REGULATIONS Must have a current valid drivers license and be
insurable under the Foundations insurance policy. Must have a
reliable vehicle to perform various in-field tasks. LANGUAGE SKILLS
--- Excellent written and oral communication skills.--- Ability to
read and comprehend basic contract language, instructions, business
correspondence, government agency documentation and memos.---
Ability to write business correspondence.--- Ability to implement
communicate and train staff on contract management software.---
Ability to effectively present information in one-on-one and small
group situations to grantees, independent contractors, employees of
the organization and others. COMPUTER SKILLS --- Proficient in
Windows, Microsoft Office, Outlook, GIFTS Online, Laserfiche and
ERP software use. OTHER SKILLS AND ABILITIES --- Detailed attention
to quality controls for creating and distributing contract
agreements. This requires a firm understanding of processes and
procedures for contractual compliance requirements.--- Excellent
time management skills and be able to establish priorities and meet
deadlines.--- Strong understanding of the contractual process.---
General knowledge of non-profit IRS tax status compliance
regulations.--- Good analytical and problem-solving abilities and
must be able to communicate solutions to foundation staff---
Ability to read and interpret documents including contracts,
grants, and grant proposals.--- Working knowledge of office
administration procedures and operation of standard office
equipment.--- Work independently and within a team on special
nonrecurring and ongoing projects.--- Requires a high level of
interpersonal skills to handle sensitive and confidential
situations and documentation.
