TITLE: Marketing CoordinatorDEPARTMENT: MarketingSTATUS: Non-ExemptJOB CODE: 1333---- GENERAL DESCRIPTION: The Marketing Coordinator is primarily responsible for the traffic coordination of marketing job requests and administrative duties as assigned by management. He/she serves as the main point of contact for project initiation and routing department inquiries ----------during the project cycle to ensure the production of deliverables that are consistent with department objectives, strategy and timelines outlined in the Marketing Program Description(s). This role supports the marketing management team with administrative duties associated with running the department. He/she will need to work independently on time-sensitive projects and handle a wide variety of activities and confidential matters with discretion. Detail orientation is a must. TASKS, DUTIES, FUNCTIONS:

  • Using our project management software Da Vinci, coordinate and manage the day-to-day operational aspects of projects as follows:
  • Act as primary contact/workflow manager with all involved internal and external parties.
  • Troubleshoot scheduling challenges and proactively identify issues to resolve and/or escalate appropriately.
  • Compile all project graphics files, including photographs and archive on department server.
  • Deliver finalized deliverables to the appropriate departments. Prepare weekly and monthly job reports under the guidance of the Creative Services Manager and VP, Marketing.
  • Provide periodic training on best practices and new features to Marketing and Creative Services team, as well as external business units and departments
  • Provide the VP, Marketing with background information, summaries, and/or supporting documents in preparation for marketing projects and meetings.
  • Manage day-to-day traffic with third party creative services vendors
    • Route creative content from Vendors through DaVinci for review
    • Communicate requested changes/edits to vendor
    • Gain final approval on creative
    • Compile all project graphics files, including photographs and archive on department server
    • Deliver end-products to the appropriate departments
    • Supports the Creative Services Manager and Director, Direct Response Marketing with background information, creative brainstorming and additional project support tasks as needed.
    • Handles matters expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures.
    • Tactfully handles inquiries/concerns, including those seen as confidential or sensitive in nature.
    • Develops and/or initiates marketing communication plans (MPD) and projects by:
      • Works beside the Creative Services Manager to prioritize projects and requests to ensure the most productive flow of job requests according to timelines.-- --
      • Identifies resources to successfully operationalize projects from initiation to final delivery.
      • Ensures business requirements and scope are fully defined and stakeholders are updated on the progress and potential obstacles, which may delay completion.
      • Runs the weekly marketing production meeting, completes monthly reporting and updates the marketing calendar.
      • Maintains a thorough understanding of state and federal laws and regulations related to credit union compliance including bank secrecy and anti-money laundering laws.
      • Performs other assignments as required. PHYSICAL SKILLS, ABILITIES, AND EXERTION UTILIZED IN THE PERFORMANCE OF THESE TASKS:
      • Effective oral and written communication skills required to accomplish tasks.
      • Must possess sufficient manual dexterity to skillfully operate an on-line computer terminal and other standard office equipment, including a financial calculator, personal computer, facsimile machine and telephone. ORGANIZATIONAL CONTACTS AND RELATIONSHIPS:
      • INTERNAL: Senior Management, all levels of staff
      • EXTERNAL: Vendors, sales people, community and strategic partners, and other individuals and groups contacting management. QUALIFICATIONS:
      • EDUCATION: Bachelor---s Degree in Marketing, Advertising, Communications, or Business preferred, or equivalent experience
      • EXPERIENCE: Two plus years--- experience in advertising (media) marketing and/or public relations preferred
      • KNOWLEDGE/SKILLS & ATTRIBUTES:
        • Prior experience in traffic coordination for an in-house marketing department a plus
        • Prior experience with copywriting and/or editing a plus
        • Prior experience with project management or workflow software a plus
        • Computer literate with proficiency in MS Office software and ability to learn new software programs. Experience with project management software a plus.
        • Excellent organizational skills with ability to communicate, both written and verbal with people at all levels of organization.
        • Independent worker with ability to be flexible and work in a team environment.
        • Knowledge of design development process including familiarity with all types of marketing communications from print to digital.
        • Proactive mentality with excellent problem solving and judgment skills, in a fast-paced setting, with a strong work ethic. Anticipate assistance by identifying issues, needs, options, and solutions before being asked.
        • Superb professionalism, tact, diplomacy, discretion, and open to feedback.
        • Solid project management skills to track multiple concurrent projects and follow-through with senior management as required keeping deliverables and deadlines on track to successful completion.
        • Strong interpersonal skills, friendly, and adaptable. PHYSICAL REQUIREMENTS:
        • Prolonged sitting throughout the workday with occasional mobility required. Occasional movements throughout the department daily to interact with staff, accomplish tasks, etc.
        • Corrected vision and hearing within the normal range. A device to enhance hearing will be provided if needed
        • Minimal local travel by car or public conveyance to attend off-site meetings and promotional events. May require weekend and evening schedules
        • Lifting without assistance materials weighing up to fifty pounds to set up presentation materials or displays
          LICENSES/CERTIFICATIONS: Valid California Driver---s License
