Job Summary The Medical Office Receptionist, is responsible for greeting patients when they arrive for their appointment as well as answering the telephone and monitoring the fax machine. The position will also gather pertinent information from patients upon their arrival, collect applicable co-pays, schedule appointments and take messages. This position has daily interaction with external providers and healthcare vendors. Responsibilities
    • Display a positive and professional demeanor in all interactions, including but not limited to: patients and their family members, medical and clinic staff, coworkers, and vendors.
    • Maintain highest levels of confidentiality, protecting all protected health information according to HIPAA regulations.
    • Using excellent customer service skills, answer incoming calls; book patient appointments, interact with other provider offices, insurance companies and other health care industry vendors.
    • Proactively prepare patient information for upcoming appointments by following standard protocol in place at clinic, perform various follow up tasks.
    • Check in patients, verify eligibility using various websites and also by phone.
    • Collect co-pays and any patient balances due as appropriate.
    • Proactively manage provider's schedules to ensure appointments are booked according to established clinic protocol, seeking ways to ensure patients are seen in a timely manner and reducing gaps in a provider's schedule.
    • Accurately document patient concerns, messages and appointment details electronically using proper grammar and spelling, with close attention to detail.
    • Input charges electronically and document all required billing information as directed by provider.
    • Process referrals and authorizations for medications, DME, radiological and laboratory testing.
    • Send and receive patient medical records after ensuring proper authorization to do so has been obtained.
    • Appropriately scan external medical records into the EMR.
    • Consistently demonstrate the ability to multi-task, performing both front office duties and answering phones throughout the day.
    • Maintain appropriate levels of office supplies by maintaining the most current record of all inventory lists and outbound orders.
    • Perform related work as assigned. Educational/License Requirements
      • Current certification in CPR preferred
      • High School Diploma
      • Valid California driver's license Qualifications and Experience
        • 6 months experience in a medical office environment.
        • Basic computer skills (ability to access, enter and retrieve data) required.
        • Competent typing and 10-key skills required.
        • MS Word and Excel skills preferred.
        • Excellent customer service and communication skills required.
        • Medical terminology, familiarity with CPT and ICD 10.
        • Familiarity with various insurance types and eligibility websites.
        • Familiarity with an Electronic Health Record and/or Practice Management system is required.
        • Ability to display first-line problem solving skills with the ability to listen, understand, and resolve or escalate issues before they become more serious.
        • Requires knowledge of medical terminology.
        • Requires strong interpersonal skills to ensure cohesive team environment.
        • Requires good oral and written communication skills.
        • Requires ability to make sound decisions and take direction by supervisor and providers.
        • Requires working knowledge of HIPAA and compliance guidelines as they pertain to a medical office.
        • Ability to use a personal computer and applicable software and systems.
        • Ability to consistently demonstrate the highest level of performance and behavior standards.
        • Ability to be honest and straightforward.
        • Ability to be supportive of co-workers, acknowledge individuality and work collaboratively.
