Job DescriptionPosition: Office Manager and/or Administrative ExecutiveReports To: CEOThe Office Manager/Administrative Executive will organize and coordinate office administration and procedures, to ensure organizational effectiveness and efficiency. The Office Manager is responsible for developing intra-office communication protocols and streamlining administrative procedures.Energetic professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. The candidate must be flexible to meet the demands of our growing organization.Tasks and Responsibilities (job includes, but is not limited to):

  • Manage executives' schedules, calendars, and appointments
  • Manage executives' email – respond, delegate to team members, follow-up, etc.
  • Provide general support to clients and team members
  • Organize and schedule team meetings
  • Organize operations and procedures
  • Track and submit reports – KPIs, Closed Loans, Homebot, etc.
  • Coordinate with IT/Support on all office systems when needed
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office/team
  • Assign and monitor clerical, administrative, and secretarial responsibilities, and tasks for a virtual assistant
  • Provide outstanding customer service
  • Lead follow-up
  • Assist with upfront client file collection and pre-approvals
  • Oversee and complete post-close procedures for closed loan files
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Marketing
    • Manage and create content for Social Media and YouTube
    • Create Realtor Flyers and Co-branded items
    • Manage ‘The Matt The Mortgage Guy' Website (content, updates, etc.)
    • Order branded merchandise
    • Current in today's office technology, and computer software including MS Office 365Key Skills & Proficiencies:
