Job Description:

The Umoja Executive and Administrative Assistant is a high-level staff position that serves the executive leadership. The person acts as the key point of contact among executives, employees, clients, and other external partners, particularly with respect to our role with the statewide Community College Chancellor's Office (CCCCO). The primary role of the Executive and Administrative Assistant (EAA) is to support the Executive Director. The EAA manages the administrative tasks and is responsible for the coordination of calendars, scheduling meetings, and acting as a liaison between management and employees. Umoja college programs serves a diverse student population and the ideal candidate has experience working with diverse communities.

Key skills and characteristics for the EAA role are high-level leadership and project management experience, able to take initiative, resourcefulness, attention to detail, troubleshooting and problem solving, quick execution, and time management. The EAA should have strong business acumen and possess high standards. The EAA must uphold the vision, mission, and principles of the Umoja Community Education Foundation and the scope of work provided to the CCCCO by fulfilling the following job duties

  • The Executive and Administrative Assistant reports to the Executive Director
  • Day-to-day administrative tasks including clerical support and scheduling of all conferences, meetings, and trainings for the Executive Director
  • Manages executives' calendars and arranges meetings
  • Makes travel and accommodation arrangements for the executive, and the Board of Directors as needed
  • Manages information flow in a timely and accurate manner
  • Takes minutes during staff, board and executive meetings as directed
  • Screens and direct phone calls and distribute correspondence
  • Organizes and maintains a wide variety of executive files, forms and correspondence
  • Prepares or summarizes report information for the executive
  • Assists with organizing reports
  • Prepare invoices and other fiscal documents for the Executive Director
  • Orders office supplies and services
  • Attends staff meetings and prepares notes for distribution to senior leadership team
  • Sends out weekly announcements
  • Assists with special projects as assigned
  • Performs other duties as assigned

    Requirements

    MINIMUM QUALIFICATIONS
    • Associate's Degree in Business or related field (AA/AS) or equivalent required. Bachelor's Degree preferred.
    • One (1) to two (2) years of experience providing support at a high level
    • Excellent verbal and written communication skills
    • Discretion and confidentiality
    • Strong interpersonal skills ability to deal effectively with a diversity of individuals at all organizational levels and provide a high level of customer service
    • Excellent judgment, with the ability to make timely and sound decisions
    • Willingness to work enthusiastically and patiently within constantly changing priorities.
    • Acute attention to detail
    • Excellent insight and ability to foresee challenges
    • Ability to troubleshoot and handle multiple competing priorities
    • Demonstrated ability to plan and execute projects
    • Strong organizational, problem-solving, and analytical skills; ability to manage priorities and workflow.
    • Strong knowledge of MS Office
    • Proficient in Windows operating system, Google Docs, and Google Calendar.
    • Minimum of 50 wpm typing
    • Ability to adhere to dress code appropriate dress for executive level work
