Pulmonary Medicine Associates (PMA) has been treating patients

Summary: The Accounting Assistant provides support to
management-level staff and performs a variety of tasks for payroll.
The primary duty is to assist in payroll management, preparation,
and payment.
Duties for Accounting Assistant include:
- Accurately perform all steps related to bi-weekly staff
payroll, including payroll posting within two (2) business days of
pay dates.
- Assist with managing vendors and accounts payable including:
ensuring invoices have proper approvals and supportive receipts;
bills are paid on time; and funds are available at the time of
payment.
- Assist with managing hospital contract receivables including:
monthly invoicing, posting payments, and following up on invoices
skipped for payment.
- Process patient refund checks within 5 days of receipt and
post-issued checks in billing software.
- Balance bank and credit card statements monthly. QuickBooks
experience is a plus.
- Assist with performing ad hoc bookkeeping tasks as
requested.
- Assist with managing petty cash reimbursement.
- Prepare journal entries and adjustment entries monthly.
- Monthly reconciliation of general ledger accounts.
- Assist with preparing all end-of-month reports no later than
the 15th business day of the month following, and year-end reports
no later than January 30 of the following year.
- Calculate, transmit, and review all funds and data pertaining
to the 401(k).
- Assist with Issuing 1099's to appropriate vendors.
- Assist with preparing and reviewing shareholder physician
compensation plan monthly for accuracy and make appropriate salary
adjustment recommendations.
- Assist with onboarding new employees.
- Assist with benefits and regulatory audits.
- Assist with running miscellaneous errands including, physician
signature collection, etc.
- Comply with PMA policies and procedures.
- Answer telephone calls and provide needed information.
- Other duties as assigned. Supervisory Responsibilities: This
job has no supervisory duties
- Previous QuickBooks and payroll are a plus.
- Experience with Excel and Word is a plus.
- Must be highly organized and detailed oriented.
- Strong written and verbal communication skills.
- Excellent phone etiquette and verbal communication skills.
- Strong customer service skills and ability to establish and
maintain effective working relationships with other employees,
etc.
- Excellent detail orientation and ability to maintain accurate
records.
- Ability to maintain confidentiality of sensitive
information.
- Ability to work independently and juggle multiple priorities.

Qualifications: To perform this job successfully, an individual
must be able to perform each essential duty satisfactorily. The
requirements listed below are representative of the knowledge,
skill, and/or ability required.
Education and/or Experience: High school diploma or general
education degree (GED); Bachelor's Degree in Accounting, Finance or
Business preferred. Or one to three years related experience and/or
training; or equivalent combination of education and
experience.
Language Skills: Ability to read and comprehend simple
instructions, short correspondence, and memos. Ability to write
simple correspondence. Ability to effectively present information
in one-on-one and small group situations to customers, clients, and
other employees of the organization.
Mathematical Skills: Ability to add and subtract two-digit numbers
and to multiply and divide with 10's and 100's. Ability to perform
these operations using units of American money and weight
measurement, volume, and distance.
Reasoning Ability: Ability to solve practical problems and deal
with a variety of concrete variables in situations where only
limited standardization exists. Ability to interpret a variety of
instructions furnished in written, oral, diagram, or schedule
form.
Computer Skills: To perform this job successfully, an individual
should have knowledge of Internet software and the Microsoft Office
Suite of products. Knowledge of basic office equipment should
include: Internet and email, copy and fax machines, postage meter
and telephone.
Certificates, Licenses, and Registrations: A current CA driver's
license
